HIWC Guidelines for Outing, Activity and Interest Group Coordinators

  • Event Information should be available 2 months before the event date.

  • The date and time should be in agreement with the Club Calendar:
- For Outings and Events, please check with the Japanese VP of Outings.

- For Monthly recurring activities or Clubs, please check with the
Calender keeper.

  • Each activity needs a coordinator from both the Japanese and Foreign side.

  • Please submit the  Activity Sign Up Form  to the Calendar Keeper and the Japanese VP of Outings.
    This form will help provide information about the cost, date, time, place etc.  The form will also help
    make it easier for the Calendar Keeper to ensure that there aren't any overlapping of events and to
    add your event to the HIWC.

  • As the Activity Coordinator, it is your responsibility to post your sign-up sheet at the General
    Meeting.  Please also collect the sign up sheet after the meeting.

  • When you have a list of interested members please email them to keep them informed of any changes.  
    We also recommend you send out a reminder note out as it gets closer to the activity date (some
    members are very casual about signing up, and forget to put the information on their calendars).

  • We suggest you collect all needed money early.  The Club will make sure members know these fees
    are non-refundable.  


Guidelines for use of International House

Hall
  • Be careful when handling the screens/curtains.  Please do not pull the screens to the top
  • Please ensure the hall is clean and all chairs and tables return to the storage room.
  • Please take your garbage home with you.

Seminar Rooms
  • Food is not allowed (ie. sandwiches, obentos, cooked food ), only snacks and beverages

General Policy
  • 48 hour cancellation notice is required.

Guest Speakers
  • Transportation money and Honarium ( within a reasonable amount ) are allowed but make sure it falls
    under Cultural Exchange. International Student House prohibits any profit making seminars held at their
    premises since the rooms are free of charge.
